CUSTOMERS’ PRIVACY NOTICE

Your Personal Data:

What we need

Scope Joinery Ltd will be what’s known as the ‘Controller’ of the personal data you provide to us. We only collect basic personal data about you which does not include any special types of information or location based information. This does however include name, address, email, telephone number etc.

Why we need it

We need to know your basic personal data in order to provide you with our services, starting from a quotation to manufacturing/fitting of goods. We will not collect any personal data from you we do not need in order to provide this service to you.

What we do with it

The personal data we hold for you is used to generate quotations, open accounts on our accounts software and to contact you about the goods you have enquired about. All data is held on password protected computers and in filing systems in a locked office. Your personal data is not shared with any other organisations unless legally obliged to do so, HMRC for example. On occasion we may take photographs of completed works, these may be used for our website or to showcase our work within our own portfolio, these will only be taken/used if permission is given.

How long we keep it

If you have bought products from us we are required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 financial years after which time it will be destroyed. If you have made an enquiry but not placed an order we will keep your quotation along with your personal data for a period of 3 years, at which point it will be destroyed. If you are a long-standing customer of ours we may keep your data/quotations and relevant submitted information, drawings etc for as long as we have a working relationship with you, unless you tell us you would like us to destroy it.

What are your rights?

If at any point you believe the information we process on you is incorrect you may request to see this information and even have it corrected or deleted. If you wish to raise a complaint on how we have handled your personal data, you can contact our Data Protection Officer who will investigate the matter. If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law you can complain to the Information Commissioner’s Office (ICO). SUPPLIERS’ PRIVACY NOTICE

Your Personal Data:

What we need

Scope Joinery Ltd will be what’s known as the ‘Controller’ of the personal data you provide to us. We only collect basic personal data about you which does not include any special types of information or location based information. This does however include name, address, email, telephone number etc.

Why we need it

For legitimate interests we need to process supplier data to consider whether to enter into a contract with a supplier, or following the placement of an order with a supplier and to meet its obligations under the contract.  For example, the company needs to process supplier data for banking purposes, and to contact suppliers about orders, deliveries, returns and/or give feedback.  We will not collect any personal data from you we do not need in order to receive your products/services.

What we do with it and how it is protected

The personal data we hold for you is used to open accounts on our accounts software and to contact you about the goods we have enquired about. All data is held on password protected computers and in filing systems in a locked office. Your personal data is not shared with any other organisations unless legally obliged to do so, HMRC for example.

We will keep personal data for as long as we have a working relationship with you, where financial transactions have taken place i.e we have bought a product/service from you we will keep your details on our accounts package and in paper form for 6 complete financial years after which they will be destroyed.

CONTRACTORS’ PRIVACY NOTICE

Your Personal Data:

What we need

Scope Joinery Ltd will be what’s known as the ‘Controller’ of the personal data you provide to us. We only collect basic personal data about you which does not include any special types of information or location based information. This does however include name, company address, email, telephone number etc.

Why we need it

For legitimate interests we need to process contractor data to comply with Construction Design Management (CDM 2015) regulations, if we are a Principal Contractor. We also need to process data for contractors undertaking work on our premises.  We will not collect any personal data from you we do not need in order to receive your services and comply with relevant regulations.

What we do with it and how it is protected

The personal data we hold for you is used to approve your company as an approved contractor on our system to ensure your company sends personnel trained to complete the task in hand and ensure the relevant insurance is in place. Contractors coming into the scope of CDM will also have their data shared with third parties (our clients, within the Construction Phase H&S Plan).  All data is held on password protected computers and in filing systems in a locked office. Aside from CDM management mentioned above your personal data is not shared with any other organisations unless legally obliged to do so, HMRC for example.

How long we keep it
